As part of ongoing professional development inititatives within the Distance Education & Technology Integration (DETI) division at the University of North Georgia, a need emerged to better analyze and communicate the impact of self-paced online learning opportunities offered to faculty and staff.
To support data-informed decision-making, a comprehensive reporting framework was developed to transform course participation and completion data into meaningful visual analytics and executive-level insights. The project incorporated instructional design expertise, learning analytics principles, and generative AI-assisted dashboard prototyping to enhance reporting effectiveness and stakeholder engagement.
The DETI Division sought a more effective method for presenting learning analytics associated with self-paced online courses. Leadership required a clear and visually compelling way to understand:
* Course participation trends
* Completion rates
* Learner engagement patterns
* Program effectiveness
* Professional development impact
* Opportunities for continuous improvement
Traditional spreadsheet-based reporting data but lacked the visual storytelling and executive summaries needed to support strategic planning and leadership discussions.
A data analytics and visualization strategy was designed to organize learning data into meaningful performance indicators and interactive dashboard concepts.
The solution included:
* Aggregating course participation and completion data
* Identifying key learning performance indicators (KPIs)
* Organizing metrics into stakeholder friendly categories
* Designing executive-level reporting structures
* Developing dashboard prototypes and visual analytics
concepts
* Creating summary reports that supported data-driven
decision-making
The resulting framework transformed raw learning data into actionable insights that could be easily interpreted by administrators and decision-makers.
As part of the dashboard design workflow, generative AI tools were strategically integrated to accelerate dashboard prototyping, visualization planning, and reporting design.
Prompt engineering techniques were used to guide the creation of dashboard concepts that included:
* Executive summary KPI cards
* Course completion analytics
* Participation trend visualizations
* Interactive filtering capabilities
* Stakeholder-focused reporting layouts
* Modern data visualization design standards
Rather than relying solely on automated outputs, AI-generated concepts were evaluated, refined, and aligned with instructional design principles and organizational reporting objectives.
A custom prompt framework was developed to instruct the AI platform to:
Create a modern executive analytics dashboard for self-paced online learning programs. Include KPI cards, course completion metrics, participation trends, engagement indicators, department comparisons, interactive filtering tools, and professional visualizations suitable for higher education leadership reporting.
The approach enabled rapid iteration while maintaining focus on usability, clarity, and strategic communication.
